Executive Administrative Assistant II- Office of the Commandant

The Virginia Military Institute Office of the Commandant is seeking candidates for a full-time Executive Administrative Assistant position. This position reports to the Commandant of Cadets and provides planning and coordination of business management, event management, administrative, and support services for the office.

Job Duties:

  • Greet and assist all incoming visitors in a friendly and welcoming manner and direct them to appropriate office resources.
  • Assist in the coordination of Cadre Week, New Cadet Training Week, Corps support to presidential and gubernatorial inaugurations, Breakout, and other critical Corps of Cadet activities.
  • Manage event planning, logistics, and implementation.
  • Coordinate Commandant Staff resource materials such as the rainbow books, both print and on-line.
  • Manage annual data collection efforts for the office.
  • Manage the daily schedule of the Commandant of Cadets.
  • Maintain and balance multiple office financial budgets monthly. Advises the Commandant of fiscal matters and budgets each month. 
  • Maintain confidentiality of student records per Institute policy, and local, state, and federal laws.
  • Serve as the budget officer for the Band, Pipe Band, and Glee club.
  • Coordinate and obtain transportation for all Corps and New Cadet events and obtain other equipment associated with these events.
  • Place eVA orders and requisitions for office supplies in a timely manner.
  • Coordinate the use of state vehicles in accordance with Institute policy.
  • Prepare all travel and reimbursement forms.
  • Oversee incoming phone and e-mail communications.
  • Develop and maintain Commandant’s homepage.
  • Other duties as assigned.

Minimum Qualifications: 

  • Experience with Microsoft Office Suite, particularly Microsoft Excel and Microsoft Outlook.
  • Experience in budget administration, including calculating and reconciling budgets.
  • Experience in organizing data and establishing and maintaining files in automated and paper formats.
  • Ability to conduct research, prepare summaries of findings, and develop recommendations.
  • Ability to compose and prepare correspondence and complete reports and forms.
  • Ability to plan and schedule administrative support for programs and events.

Additional Considerations:

  • College level coursework, especially in accounting and business, or equivalent applicable experience or training.
  • Experience with event management, including logistics and implementation.
